Dentists Email List: A Responsible Research Guide
How to research dental practices, validate business contact data, and build an outreach list without presenting invented records as verified facts.
Who this is for
Sales and marketing teams researching dental practices in the United States.
Research questions
- Which public sources identify active practices?
- How should practice and practitioner records be separated?
- What should be checked before outreach?
Dentist research worksheet
Use this worksheet to build an evidence-backed practice list from public sources. It is intentionally a template, not a pre-filled contact database.
| Column | Required evidence | Validation rule |
|---|---|---|
| practice_name | Practice or organization name | Match the source spelling |
| npi | NPI Registry record, when applicable | Keep the identifier; do not infer one |
| practice_url | Official practice website | Confirm it represents the same entity |
| specialty | Published specialty or “not stated” | Never infer specialty from a business name |
| source_url | URL where the observation was found | Required for every row |
| checked_at | Date the source was reviewed | Use ISO format: YYYY-MM-DD |
| confidence | high, medium, or unresolved | Explain confidence in notes |
How to validate a practice
- Use NPPES to check the organization or provider identity.
- Use the official practice website to confirm name, location, and services.
- Use a licensing or professional source where relevant to the question.
- Keep generic business contact routes separate from personal contact details.
- Record corrections and opt-out requests rather than silently replacing evidence.
Live-source sample
This five-row sample was retrieved from the official NPPES API on 2026-09-06. It contains organization-level registry fields only; it does not include emails, guessed contacts, or a claim that a practice website is current.

A defensible workflow
- Start with a primary or official source and record the URL and access date.
- Separate observed facts from assumptions. Never infer a personal email address or verification score.
- Deduplicate by legal name, domain, and location; keep evidence for every important claim.
- Before outreach, confirm applicable privacy, marketing, and opt-out requirements.
Evidence record
| Field | What to record | Why it matters |
|---|---|---|
| Entity | Organization name and website | Prevents person, branch, and brand mix-ups |
| Observation | Specific fact found in the source | Keeps research auditable |
| Source | URL, publisher, and access date | Allows independent checking |
| Confidence | High, medium, or unresolved | Stops assumptions becoming facts |
| Action | Review, correct, remove, or do not contact | Creates a responsible next step |
