Scraping hospital emails is a pain in the ass. Most sites hide them behind contact forms or PDFs. We had to build a parser that reads PDFs and extracts mailto links. It's not perfect, but we get about 87% accuracy. The rest are bounced, but we replace them.

We started with the AHA directory, but it's a walled garden. So we crawled state health department sites, hospital websites, and even LinkedIn (carefully). The deduplication was the worst part. Two hospitals merge, and you get duplicate contacts. We wrote a fuzzy matching script that uses NPI numbers to keep it clean.

The data is as of last month. We update quarterly, but if you need fresher, we can do a custom run. Just don't ask for real-time. That's not how this works. You want a list that works, not a list that's constantly changing. We keep it stable.

Data Schema & Dictionary

hospital_name

The legal name of the hospital. Use this to verify you're not emailing a clinic or a nursing home. It's the primary key for your dedupe.

npi_number

National Provider Identifier. A 10-digit number that's unique to each provider. If you're doing any kind of HIPAA-related outreach, this is your anchor. It also helps you cross-reference with other datasets.

contact_email

The main email address for the hospital's admin or marketing department. This is the one that actually gets read. Don't use the generic info@ because that goes to a black hole. We've tested.

phone_number

The hospital's main switchboard number. Good for a follow-up call if email bounces. But don't call it unless you have to. They hate cold calls.

city

The city where the hospital is located. Filter by this if you're targeting a specific region. Also useful for calculating time zones.

state

The two-letter state abbreviation. Helps with regional compliance and local regulations. Also good for segmenting your campaigns.

bed_count

Number of licensed beds. This tells you the size of the hospital. Bigger hospitals have bigger budgets, but also slower decision-making. Use this to prioritize.

hospital_type

Acute care, psychiatric, rehabilitation, etc. This is important because the buying process differs drastically. A rehab center's admin is not the same as a general hospital's.

Frequently Asked Questions

How fresh is this data?
We scrape it on the 1st of the month. If it bounces, tell us and we swap the credit. Simple. But don't expect real-time updates. If you need that, you're in the wrong place.
Are these emails verified?
We verify them at the time of scrape using SMTP checks. But emails go stale. That's why we give you a bounce replacement guarantee. If you get more than 5% bounce rate, we'll work with you to fix it. Not that we expect it, but it's there.
Can I get a sample before buying?
Sure. Send us a request with your work email and we'll send you 50 random rows. But don't waste our time if you're just collecting samples. We're not a free trial service.
Is this data HIPAA compliant?
The data is publicly available information. We don't include any patient data. So, yes, it's safe for marketing use. But what you do with it is your responsibility. Don't be an idiot.
